Job templates

Start a role you hire for again from a saved setup of its title, properties and questions.

Overview

A job template holds the setup for a role you hire for more than once. Start a job from it and the title, description, properties and application questions are already filled in. Change what is different this time and create the job.

Applying a template copies its values into the new job. The job remembers which template it came from, and an application SLA rule can filter on that, but it never reads the template's values again. Editing the template later leaves every job made from it as it is.

Mouse

  • In settings, click Templates under Jobs to manage the workspace's job templates

Workspace and team templates

Every template has a Visibility:

  • A Workspace template is offered when you create a job without a team or in any team.
  • A Team template is offered only when you create a job in that team. It always makes that team the job's primary team.

Workspace templates live at Settings → Jobs → Templates. A team's templates live on its settings page under Templates, which lists the team's job and document templates together.

Who can manage templates

Workspace templates follow the Manage workspace templates setting under Settings → Administration → Security. It starts at All members, so every member can create, edit, duplicate, archive and delete them. A workspace owner or admin can set it to Only admins. Guests cannot manage workspace templates under either setting.

Team templates, and the team's default template, follow the team's Template management permission on its Access and permissions page. It starts at All team members. Teams explains who passes under each setting and which plans can change it. Guests cannot manage team templates.

Anyone in the workspace can use a workspace template. A team template is offered to the people who can see that team.

Create a template

On the templates page, click New. The editor has three parts:

  • Name is what the template is called in the pickers and in settings. It is separate from the job title and holds up to 120 characters.
  • The job form is the same one the Create job dialog uses: title, summary and description, team, status, priority, lead, members, workplace, employment, location, contract type, positions, labels and the job posting questions. The title is required, because every job made from the template starts with it. Start and target dates are left off, since a date belongs to one job.
  • Visibility, at the bottom, sets Workspace or Team.

Click Create template to save it.

Make a template from a job

Open a job, click More job actions beside the title, and choose Make template.... The editor opens filled in from the job: the name and the title both take the job's title, and the description, properties and questions come across. Applications, dates and activity stay with the job. Nothing is saved until you click Create template.

Visibility starts on the job's primary team. If you cannot manage that team's templates, it starts on Workspace instead. When you can manage neither, the menu item does not appear.

Use a template

In the Create job dialog, the Template chip sits next to the team chip at the top. Its list starts with Blank, then Workspace templates, then Team templates for the team you picked. When no template is available, the chip is not shown.

If you have already typed into the draft, Attia asks Replace current job details? before it applies the template. Choosing Blank on a draft you have started asks the same.

Set a team's default template

On a team's Templates page, Default job template picks the template every new job in that team starts from. The list holds Blank, the workspace templates and that team's templates.

The default fills in the Create job dialog only while the draft is empty. It never overwrites something you have typed or a draft you came back to, and you can still switch to another template or Blank.

Archiving or deleting the default template sets the team back to Blank.

Edit, duplicate, archive and delete

Each template row has a menu of more actions:

  • Edit opens the template in the editor. Click Save changes when you are done.
  • Duplicate makes a copy named after the original with Copy at the end.
  • Archive takes the template out of the pickers. Jobs made from it are not affected.

Switch the list from Active to Archived to see archived templates. There, the menu offers Restore, which puts a template back in the pickers, and Delete permanently.

Delete permanently asks you to type the template's name before it goes ahead, and it cannot be undone. You do not have to archive first: the template editor's own menu of more actions offers it too. Jobs made from the template keep everything they copied.
