Attia for startups and mid-size companies

How admins and hiring leads set up teams, shared settings and reporting when several teams hire at once.

Overview

This guide is for admins and hiring leads at startups and mid-size companies, where several teams hire at once. It covers how to set up the workspace and which features to use.

Each section links to the article with the detail. If you hire with one team, read Attia for small teams instead.

Set up your workspace

Choose a plan

The Business plan gives you unlimited teams and unlimited applications. It also adds private teams, one level of sub-teams, guest accounts, Insights, rules that set an application SLA automatically, and team owners. Business covers up to 20 members.

Consider the Enterprise plan when you need one of these:

  • More than 20 members.
  • SAML sign-in through your identity provider, and SCIM to add and remove members from it.
  • The audit log, which workspace admins can open on that plan.
  • Sub-teams up to five levels deep.

Organize teams

Follow your organization. Make one team per group that runs its own hiring, such as Engineering, Sales and Operations, or one per country. Use sub-teams for a specialized group under one of them.

By default only workspace admins can create a team. The Team creation setting on Settings → Security can open it to All members. Guests cannot create a team under either value.

Use a private team when only a few people should see the hiring, such as an executive search. That article explains who can see a private team.

Workspace admins can always send invitations, by email or as an invite link. Members can send them by email when New user invitations on Settings → Security is set to All members. A member invites with the Member role, into teams they may add people to, and invites a guest only into a team they own. Only an admin invites an admin. See Invite members. Once people have joined, send them Joining your team.

Set up workflows

Some settings apply to the whole workspace, so every team reports in the same terms. Others belong to each team, so a team can run its own process.

On Settings → Security, Manage workspace labels and Manage workspace templates decide whether Only admins or All members can manage the workspace's labels and templates. Both start on All members.

A team's Access and permissions page decides who can change that team's settings, labels and templates: All team members or Admins & team owners only. A guest never passes a team permission. Team owners explains each permission.

Plan

Jobs

A job is one role you are hiring for. It belongs to one or more teams. Working with jobs explains who can create a job and how to share one between teams.

Give each job a priority, a start date and a target date, so everyone can see which roles come first.

Assign a lead

A job can have one lead. Pick the person best placed to keep the role moving. It does not have to be a team lead.

Write the brief

The job page holds the description candidates read, the job's properties and its members.

Documents hold the rest: a role brief, an interview guide, a scorecard. Attach a document to the job to keep it with the role. The article explains who can read it.

Hire

Applications

An application is one candidate's submission to one job. Applications arrive through your career site, and Create applications explains who can add one by hand.

Each application moves through the statuses of its team. Give it an assignee and labels, and score it with a review if the team uses a scale.

Deadlines

An SLA puts a deadline on an application. On Business and Enterprise, a workspace admin can write rules that set one automatically, for example on every referral.

Automation

A loop is a standing instruction for Attia Agent. It runs on a schedule or on a trigger you choose.

Follow progress

Updates

A job update carries a health, On track, At risk or Off track, and your text. Updates live on the job's Activity tab.

A job also moves through the workspace's job statuses, and its job graph plots applications day by day.

Custom views

A custom view saves a set of filters and display settings under a name. Keep it personal, or share it with the workspace or a team.

Insights

Insights draws a chart of the records in a list. It is available on Business and Enterprise. Use it to see which status most of a team's applications sit in, or how old the open applications are.
